DECIDING
TO RELOCATE
It is often
the perceived stress
and business disruption
related to relocating
that could ultimately
make the decision
whether to remain
in premises that are
no longer suitable.
TBRP will
happily join you
over a cup of
coffee, discuss
your needs and
concerns, and
assist in making
the right decision
for your business.
Whether it’s
finding and relocating
to new premises
or refurbish your
existing location, TBRP can
be there to successfully
manage the process.
Finding
your ideal premises
Looking
for new premises
to relocate to,
additional premises
to decentralise
or expanding the
business can be
a tedious time consuming
exercise. Let TBRP do
the leg work for
you. We will discuss
and gather your
requirements, as
per the needs analysis,
take contributing
influences into
consideration, investigate
the property market
and present a selection
of premises for
you to evaluate
and decide upon.
Needs
analysis
TBRP will
in conjunction
with your key
staff, compile
a needs analysis
for the new
premises, namely:
Offices, meeting
rooms, reception
and work areas,
storage, computer
room requirements,
communication
requirements,
lunch room or
kitchen requirements,
etc. The result
of the needs
analysis outlines
the tendering,
quoting and
budgetary considerations,
and is an integral
part of the
relocation planning
process.
Budgetary
considerations
Like any company, TBRP does
not like hidden surprises.
We assist in compiling
or evaluating your
budget to ensure
all cost elements
are included eliminating
the risk of any “nasties” later
down the track.
Within the project
management process TBRP will
ensure that your
budget is managed
against expenditure.
Approval and authorization
is conducted within
your administrative
process. Project
and Expenditure
progress is reported
openly and honestly
in regular progress
meetings.
Project
management
As no two
relocation projects
are the same, we
create and maintain
a detailed relocation
and refurbishment
project plan with
time lines encompassing
all elements of
the relocation down
to the finest detail.
This is agreed with
your business and
regular update meetings
and reporting to
your key contact(s)
will ensure that
you remain fully
informed and in
control of the project
at all times.
The project
plan is made visible
to all internal
and external personnel
involved ensuring
that responsibilities
and time lines
are met.
Planning
and representation
TBRP will
represent your organization
at all stages with
all service providers
throughout the process.
This includes, planning,
construction, surveyors,
workstation and
furniture suppliers,
signage, removalists,
utilities, IT service
and communication
providers etc.
TBRP has
no allegiance
to any suppliers.
We can recommend
suppliers that
have previously
delivered to our
stringent standards,
and/or follow
your tender process,
or utilize your
existing suppliers.
Information
technology and
telecommunication
TBRP carries
many years experience
in Information Technology
and Telecommunications.
Working closely
with your IT staff, TBRP will
ensure that:
- Network cabling,
communication
and infrastructure
is planned,
installed and
tested according
to your standards.
- Ensure that
construction
of computer
rooms suit the
company’s
strategy and
budget and adhere
to your risk
strategy.
- Manage the
physical relocation
and testing
of computer
and PABX equipment.
Fitout
management
TBRP keeps
in constant contact
with appointed service
providers ensuring
that they deliver
as appointed, on
time within budget.
Continual inspections
are conducted during
fit outs and construction,
ensuring that any
potential delays
are dealt with quickly
and smoothly.
Regular reaffirming
communication
is kept with Service
providers such
as movers, Communication
Service providers,
PABX installers
etc, whose services
are required leading
up to the day
of, and on the
day of the move.
This ensures all
parties are up
to speed with
progress leaving
no room for grey
areas.
Through open
communication,
we at TPRP encourage
organisational
involvement throughout
the project for
staff to feel
part of the process.
This includes
conducting progress
tours of the new
premises.
Physical
relocation management
TBRP physically
administer the move
process. This includes
pre-move purging,
packing, preparation
and staff preparation
for the new premises.
Typically the
move takes place
over the weekend
and TBRP will
coordinate the
movers, ensure
that PABX and
computer equipment
is installed,
tested and ready
for the first
day in the new
premises - Monday.
Asset
disposal
As part
of the relocation
process TBRP assists
in identifying and
disposing of loose
furniture and other
assets not required
in the new premises
through disposers
as guided by your
company.
Post
relocation settlement
TBRP remains
at your service
for as long as you
deem necessary to
ensure the settling
in process is complete
and tasks conducted
by TBRP during
the move process
integrated into
your normal administration
process. This is
a great time to
celebrate and welcome
your staff to the
new premises after
a smooth successful
relocation.
What
about the old
premises?
Because
the relocation to
new premises carries
all the focus, the
make good to contractual
obligation in the
relocating premises
is forgotten until
the last minute. TBRPmanages
the make good process
as per the relocation,
appointing and managing
construction, demolition,
and ensuring that
unnecessary lease
extensions are avoided
while make good
is under way.
